About the Role
We're looking for an experienced Office Administrator to take ownership of many of our firm’s day-to-day operations, client experiences, and administrative functions. If you thrive in a fact-paced environment where your organizational skills and attention to detail directly impact firm success; where you're trusted to work independently on diverse projects; and where your contributions are visibly valued, this role offers real opportunity. This is a full-time, in-person position.
No two days will look exactly alike — you'll wear many hats and be a go-to resource for attorneys, staff, clients, and vendors alike. You’ll manage billing and payroll, coordinate high-touch client events, handle technology projects and be a trusted resource for KSB staff and clients. You won’t be lost in the crowd here; your work matters and the team will rely on you.
Key Responsibilities
Client & Communications Support
Answer phones, directly assist the client if possible, and route calls/messages appropriately
Greet clients and support in-office workshops, including refreshments, lunch, etc.
Coordinate golf tournaments and other client events in Nebraska and South Dakota (some travel required)
Administrative, Clerical & Billing Support
Support timekeeping, billing, and invoicing processes as needed (experience with legal billing software like Clio preferred but not required)
Process documents; photocopy, scan, print, bind and organize documents for exhibit books for legal proceedings
Annual audit response letters
Reconcile budget on a monthly basis, including verifying credit card purchases and collecting receipts
Track attorney CLE and maintain transcripts annually
Operations & Technology
Manage firm blog and distributions lists, design webinar registration pages, manage registrations
Assist with the KSB Client Portal, including adding users, uploading content, performing basic video editing (we will train on iMovie), billing, etc.
Collect ongoing negotiations data from school districts
Coordinate Zoom meetings and webinars
Handle administrative tasks such as submitting employee pet insurance claims, preparing weekly firm meeting agenda, etc.
Ideal Candidate Profile
Collaborative — works well with attorneys, staff, and leadership; while exercising discretion in handling confidential and sensitive information
Detail-oriented — comfortable with precise, compliance-sensitive tasks (billing, exhibits, filings support); extremely responsive to client and staff requests, asking questions when uncertain
Client-facing comfort — confident greeting clients and handling phone/in-person interactions professionally
Works independently — able to manage a varied task list with minimal day-to-day direction once trained; a proactive, “no task too small” attitude and a genuine willingness to pitch in wherever needed
Growth mindset – willingness to learn new technologies and skills;
Qualifications

Associate’s Degree/Bachelor’s degree and/or paralegal credential
Familiarity with Zoom, Google Suite, Squarespace and Clio
