About the Role

We're looking for a proactive, detail-oriented Office Assistant to support the firm's day-to-day operations, client experience, and administrative functions. This role is being built fresh to support the firm's current needs — not a replica of a prior position — and is ideal for someone who is comfortable juggling varied tasks, pays close attention to detail, working directly with clients, and taking ownership without heavy oversight.

Key Responsibilities

Client & Communications Support

  • Answer phones and route calls/messages appropriately

  • Greet clients and support in-office workshops (including ordering lunch and other logistics)

  • Manage sports ticket distribution to clients

Administrative & Billing Support

  • Enter law clerk time

  • Submit pet insurance claims

  • Create exhibit books (copying, tabbing, assembly)

  • Handle audit letters from schools

  • Reconcile budget on a monthly basis, including verifying credit card purchases and collecting receipts

  • Generate invoices and check for accuracy on the data entered

  • Provide invoices to clients on a monthly basis and answer questions regarding invoices

Content & Digital Support

  • Post blogs and slides to the website

  • Basic video editing in iMovie (we will train)

Event & Project Coordination

  • Coordinate golf tournaments (Nebraska and South Dakota)

  • Collect negotiations data from districts

  • Support special/ad hoc projects as they arise

  • Continue to manage the KSB Library with new content from various sources

  • Manage the blog contact list to ensure they are organized by state

Ideal Candidate Profile

  • Collaborative — works well with attorneys, staff, and leadership

  • Detail-oriented — comfortable with precise, compliance-sensitive tasks (billing, exhibits, filings support)

  • Client-facing comfort — confident greeting clients and handling phone/in-person interactions professionally

  • Works independently — able to manage a varied task list with minimal day-to-day direction once trained

  • Growth mindset – willingness to learn new technologies and skills

What Success Looks Like

  • Reliable, accurate execution of recurring administrative and billing tasks

  • Strong client-facing presence during calls, visits, and in-office events

  • Growing ownership of event coordination (golf tournaments, workshops) with minimal oversight over time

  • Trusted partner who frees up leadership to focus on higher-level legal and strategic work
